Health coaching wires onboarding as tightly as the protocolDay 0–7 after payment predicts completion more than the curriculum does.

Health coaches leak when payment is a Stripe link, access is a PDF in email, the first session is a hope, and recare is silence. The vertical wires as paid → access → kickoff event → attendance → protocol check-ins that write the contact — with a no-show recover on session one. Instagram is not the CRM for people in a protocol.

The short version

Intern through CEO

Health coaches leak when payment is a Stripe link, access is a PDF in email, the first session is a hope, and recare is silence. The vertical wires as paid → access → kickoff event → attendance → protocol check-ins that write the contact — with a no-show recover on session one. Instagram is not the CRM for people in a protocol.

  1. 01

The weekly number is kickoff show rate and % of new payers with a next session date. Completions follow those two.

  2. 02

Protocol without onboarding is a PDF. The CRM should show whether they started, not only that they paid.

  3. 03

Health lists die from daily slogans. Nurture is paced. Replies are clinical-adjacent — a human, not a broadcast of tips that ignore their plan.

  4. 04

Failed payments on packages need dunning plus a human. Ghosting a past-due client while Instagram posts recipes is how refunds happen.

  5. 05

Reviews after they have had a result window, not a QR while they pay. Unhappy path private.

Who

Same system. Three jobs.

Read your row

Intern

What you actually do

Access test, kickoff coverage on recent payers, no-show recover. You are not designing meal plans.

Operator

What you protect

Onboarding = product. Milestones write. Recare clock. Human on stalled. Instagram is a door.

CEO

What you refuse to fund

Completion is the economics. Kickoff and next-session coverage are the numbers. Until they exist, more programs multiply drop.

Wire

How to connect it

Objects, then edges

Stripe/package, access (portal/PDF/app), kickoff calendar event, session attendance, protocol milestone fields, no-show tag, recare/renewal date, review ask after a completed block — not at checkout.

  1. 01

Paid → access automatic same day; lead spine stops

  2. 02

Kickoff booked on paid or as a required next step; reminders two-way

  3. 03

Session one no-show → recover; do not wait until week three guilt

  4. 04

Milestone or week-4 field → recare/renewal journey, not a blast to all past payers

Steps

Do this in order

Why, then done when
  1. 01

Paid writes access and stops acquire

Webhook. Login or folder lands. Lead emails die.

Why: Double mail on day zero plus no access is the refund pattern.

Done when: Test pay: access + not in acquire.

  2. 02

    Force kickoff as an object

Event type Kickoff. Booked stage. Show rate.

Why: First session in a DM is not a system.

Done when: Every new payer in the last 14 days has a kickoff date or a recover task.

  3. 03

    Session-one recover

No-show workflow same day. Rebook conversion.

Why: Drop is onboarding, not 'they weren’t ready'.

Done when: Test no-show gets recover, not silence.

  4. 04

    Milestone fields

Week 2/4 check-in writes a field. Triggers recare or a human task if stalled.

Why: Without fields you only have payment as a state.

Done when: A stalled test gets a task, not a recipe blast.

  5. 05

    Renewal clock

Package end date on the contact. 14-day spine. Not a surprise invoice.

Why: Silence until expiry is how they ghost.

Done when: Upcoming ends have dates. A list exists.

What an intern should wire first

Test purchase → access. Kickoff event exists. List last 10 payers: kickoff date present? Session-one no-show test. Package end dates filled for active clients.

What the coach should refuse

A new challenge, more Instagram funnels, or a second program until kickoff show rate exists. More curriculum into a missing day-0–7 is more refunds.

The usual failure

Stripe. PDF. First session in DMs. No recare. Recipe broadcasts to everyone including people mid-protocol. That is content, not a practice.

The weekly number

Kickoff show rate and % of new payers with a next session on the contact. Protect those before a new challenge.

Why

Questions people actually ask

Pushback is normal

The protocol is the product. Why CRM?

Because completion is the product. Protocol PDFs do not recover no-shows or renewals.

Can WhatsApp be the check-in?

It can be the channel if the thread sits on the GHL contact and milestones still write fields. A personal phone is a hostage.

Should we sell on Instagram comments?

Capture to a contact the same day. Protocol clients cannot live in comments.

This week

This week: paid→access, kickoff object, session-one recover, end dates on packages. No new challenge.
