Executive coaching wires as a filter, not a challenge funnelSenior operators will not wait on a messy CRM while the calendar fills with the wrong calls.

Executive coaches leak when discovery is a public Calendly, proof is a vibe, and intake happens on the call. The vertical wires as application or a tight book-with-context, proof attached to the contact, show rate on discovery, and a pipeline that does not look like a $47 challenge. This is how this practice actually runs objects — not a geo clone of 'coaching CRM'.

The short version

Intern through CEO

Executive coaches leak when discovery is a public Calendly, proof is a vibe, and intake happens on the call. The vertical wires as application or a tight book-with-context, proof attached to the contact, show rate on discovery, and a pipeline that does not look like a $47 challenge. This is how this practice actually runs objects — not a geo clone of 'coaching CRM'.

  1. 01

The weekly number is discovery show rate and time-to-first-response on complete applications. Traffic is vanity if those two are unowned.

  2. 02

Buyers ask who else you have worked with. Proof must sit on the contact before the call — a PDF in Drive the coach forgot is not attached.

  3. 03

Two CTAs (apply and book) on the same page is how you fill the calendar with people who wanted a coffee. Pick the filter.

  4. 04

An executive assistant may own the board. If they cannot explain a card in thirty seconds, you are teaching leadership you do not run.

  5. 05

Delivery clients in the same pipeline as prospects is how you stop prospecting while you feel 'busy'. Split the objects.

Who

Same system. Three jobs.

Read your row

Intern

What you actually do

Conversion, fields, show rate, one client moved off the prospect board. You are not writing thought leadership this week.

Operator

What you protect

Filter, proof, show, split delivery. Manners on the no. Assistant can run the board.

CEO

What you refuse to fund

Senior buyers pay for a tight machine. A messy calendar is a brand leak. Show rate and application speed are the practice numbers.

Wire

How to connect it

Objects, then edges

Application or qualified booking, proof artifacts on the contact, intake fields (role, company, constraint), discovery event type, opportunity stages (applied / booked / held / proposed / paid), assistant-as-owner, confidentiality note field.

  1. 01

Inbound → application or booking with company/role required; calendar closed to naked links in bios if that fills with tire-kickers

  2. 02

Complete app → fast route; unfit → polite no, not a nurture that discounts the fee

  3. 03

Discovery held → notes and next date; no-show → same-day recover, not a founder guilt text only

  4. 04

Paid → onboarding and a delivery pipeline separate from prospecting

Steps

Do this in order

Why, then done when
  1. 01

Choose apply vs book as the public conversion

One. If book, require role/company on the event questions. If apply, calendar only opens for fit.

Why: Naked Calendly is how senior people also get the wrong room — and how you burn hours.

Done when: One public conversion. The other unpublished.

  2. 02

    Attach proof to the record

Field or files: relevant case, constraint, who referred. Coach opens GHL, not a scavenger hunt.

Why: This buyer audits you. Memory is not proof.

Done when: Test app/book shows proof context on the contact.

  3. 03

    Write discovery as a job

Booked / held / no-show. Show rate weekly. Reminders one owner.

Why: A full calendar of ghosts is not a high-ticket practice. It is a skin.

Done when: Monday show rate by discovery type.

  4. 04

    Polite no is a path

Unfit apps get a short no, not a sequence that cheapens the offer. Referral out optional.

Why: Nurturing unfit as if they will discount-in is how the brand feels like a challenge.

Done when: Unfit test does not get a '10% off' email.

  5. 05

    Split delivery

Paying clients: kickoff, session dates, renewal. Prospects cannot sit in session stages.

Why: Mixed boards hide that you have not booked a new discovery in 40 days.

Done when: Two pipelines or a hard status split. Next dates on both.

What an intern should wire first

Pick the public conversion. Map role/company fields. Test book/apply. Attach one proof file to a test contact. Compute last week’s show rate even if ugly. Split one paying client out of the prospect board.

What the coach should refuse

A challenge-style funnel, a second public calendar, or ads to a naked Calendly until show rate and application speed are numbers. More conversations with the wrong room is not pipeline.

The usual failure

Calendly in bio. No intake. Proof in the coach’s head. Delivery and prospects in one column called Active. EA works Gmail. That is a personality with invoices.

The weekly number

Discovery show rate (held ÷ booked) and hours-to-first-touch on complete apps. If either is a story, do not add a webinar.

Why

Questions people actually ask

Pushback is normal

Why not a webinar funnel? Everyone does it.

This buyer smells checkout-link energy. A webinar can exist as a door if write-in and a filter still exist. It cannot replace the application machine.

My EA lives in my inbox. Isn’t that faster?

Until they are out. GHL with an owner role is how the practice survives a vacation. Inbox is not a graph of next dates.

Do we need a long nurture?

Paced, proof-heavy, no discount panic. Five letters. Replies to a human. Sunset. Not a 30-email ladder.

This week

This week: one public conversion with context fields, proof on the record, show rate named, delivery split from prospects. No challenge funnel.
