    Pick an attendance threshold (for example 10 minutes) and write it down. 'Joined' for 20 seconds is not attended. Reporting will lie if you do not define it.

    Same-day follow-up beats a recap on Friday. The room is already in another meeting. Attendee and no-show cannot share a template.

    Define registrant vs attendee vs no-show

    Three states, three tags or fields, one campaign id. Attendance minutes threshold written. Do not use Zoom’s list as the CRM.

    Why: Without definitions you will mail attendees a 'sorry we missed you' and train them to ignore you.

    Done when: The three states are on the spec. A test registrant can be moved through all three in GHL.

    Write registration into GHL

    Zoom native, webinar platform webhook, or one Zap. Email match. Campaign name on a field. UTMs from the registration page.

    Why: A Zoom email list that never hits GHL is a second database you will blast from the Zoom UI.

    Done when: Test registration appears in GHL before the event, with campaign field.

    Import attendance the same day, automatically

    Post-event webhook or scheduled pull within hours, not next week. Apply attended vs no-show. Store minutes if you have them.

    Why: Manual CSV on Monday is how same-day follow-up becomes a recap nobody reads.

    Done when: A test join past threshold tags attended without a human CSV.

    Split the same-day spines

    Attendee: notes, one offer, proof for the buyer if B2B. No-show: replay or next date, not the attendee pitch. Stop when they book or buy.

    Why: One blast to 'everyone who registered' is the usual leak dressed as a campaign.

    Done when: Two test contacts, two different emails, same day as the event.

    Package the account

    If B2B: company on the contact or account object, stakeholder vs participant tags. Next step for the buyer, not only a 'thanks for coming'.

    Why: Renewal is a company job. Treating attendees as the customer is how you start from zero next year.

    Done when: A test company attendee has company field and a buyer next step identified.

What an intern should wire first

Register a throwaway email. Confirm GHL contact. Join past the minute threshold. Confirm attended tag and attendee email, not the no-show email. A second email that registers and does not join gets the no-show path. If either email is wrong, fix the split before you write more copy.

What a CEO should refuse to fund

A bigger webinar platform, more speakers, or more ads to registration until attendance writes GHL the same day and the follow-up is one offer. Bigger rooms into a CSV ritual increase the leak.

The usual failure

Registration celebrated in Slack. Attendance CSV next week. One email to all registrants. Zoom used as the list. Company who paid is not on the record. Replay sequence hits people who were there. That is an event, not a campaign system.

The test that proves it

Three contacts: registered-only, attended, and B2B participant with company field. Same-day correct emails. GHL is the list. Zoom UI is not used for marketing sends.

Why not just use Zoom’s email follow-up?

Then GHL never sees state, sales cannot see context, and the next launch starts from a Zoom CSV. Zoom is the room. GHL is the journey.

Can we wait to see the recording numbers on Friday?

You can. The room will have forgotten you. Same-day is the operating rule. Replay is a path, not a delay tactic.

What about Zoom Meetings vs Webinars?

Same objects. Meetings often lack clean attendee exports — then you must run a registration form in GHL as source of truth and use Zoom only as the room.
