    Call vendor dashboards are not pipelines. If GHL cannot list yesterday’s missed calls, you cannot manage them.

    Each tracking number should map to a source field (Google Ads, GBP, Facebook). If every number writes source:phone, you paid for tracking you cannot use.

    Missed-call text-back is the product in home services. A morning callback list in a notebook is how you lose the job to whoever texted at 7:12 p.m.

    Answered calls still need an outcome in GHL: booked, quote, not a fit. Duration alone is not a stage.

    Recordings can live in the vendor. A link on the contact is enough. Do not build a recording archive as a science project.

    Why: Reporting-only tracking is how marketing has numbers and ops has voicemail.

    Done when: A test call to a tracking number appears on a GHL contact.

    Map numbers to sources

    Table: number → source/campaign field. GBP number vs paid vs website click-to-call.

    Why: Unmapped numbers make 'phone' the biggest source and the least useful.

    Done when: Two test numbers write two different sources.

    Missed-call SMS

    On missed/voicemail: SMS from Conversations, opportunity or task, SLA minutes. Do not wait for a human to listen to voicemail first.

    Why: Voicemail-first is slow. Text-back wins the job.

    Done when: A missed test call gets SMS under the SLA without anyone opening voicemail.

    After-hours path

    Same as lead ads: create now, honest message, morning ordered queue. Weekend is not 'check Monday'.

    Why: HVAC at 95°F does not wait. Dental emergencies do not wait. Your process should not pretend they do.

    Done when: After-hours missed call creates GHL state immediately.

    Weekly missed-call recover

    Missed, texted, booked from those. Recover rate is the number. Vendor 'call volume' is not.

    Why: Volume without recover is a busy signal with a bill.

    Done when: Monday: missed count, SMS sent, booked. One action.

What an intern should wire first

Call from a personal phone to the tracking number, miss it on purpose. Confirm GHL contact, source, SMS. Call a second number for a second source. After-hours if you can. You are not 'analyzing call recordings'. You are proving write-in and text-back.

What a CEO should refuse to fund

More tracking numbers, a new call vendor, or more ads to phone until missed-call SMS is live. Extra numbers into a voicemail graveyard buy more ghosts.

The usual failure

CallRail for marketing reports. Front desk pad for reality. Missed calls overnight. No SMS. Source is always 'phone'. GHL empty. That is a tracking bill and a notebook.
